RECEPTION TASKS o Manage office reception o Answer phone calls
o Maintain office files and databases
o Prepare reports, presentations, memorandums, proposals, and correspondence
o Assist in scheduling appointments
ACCOUNTING TASKS
o Receive invoices from suppliers, scan the invoices and file them electronically and physically
o Maintain a detailed record of all invoices
o Organize and prepare information to be sent to accounting
o Maintain communication with accounting administrative personnel for coordination of receiving/sending documents
o Maintain communication with accounting personnel for payment approval requests and making sure payments are completed in a timely fashion
o Complete Income Declarations required by the bank when receiving wire transfers
OFFICE TASKS
o Track office supply inventory and approve supply orders (including break area supplies)
o Run office errands such as buying office supplies, making certain payments, etc.
o Assist in purchases of Hardware or Hardware supplies such as toner
o Maintain communication with building administrator regarding any maintenance issues
o Coordinate cleaning staff
o Maintain an updated calendar and bulletin board for the office with meetings and events
o Coordinate employee birthday celebrations and other events
LEGAL TASKS
o Maintain communication with legal personnel for coordination of elaboration of documents, delivery/pickup of documents, signature of documents, etc.
HR TASKS
o Assist in the recruitment process organizing interviews, maintaining interview schedules and candidate profiles, and communication with candidates
o Assist in activities/questions related to the handbook or employee guidelines
o Coordinate HR employee requests such as Letters of Employment
o Assist in the coordination of training activities for new staff
o Assist in the coordination of employee schedule
